Vynta for enterprise field service operations
Scale your field service operations with enterprise-grade security, compliance and multi-office management.
- Signed on site
- Offline-first
- One work-order record
One record per job
Site to sign-off, on one sheet.
Multi-branch operations get one ledger the whole team reads the same way.
SITE
The technician completes the checklist, attaches photos, and the customer signs on the device.
SYNC
Offline-safe: the finished work order reaches the office the moment signal returns.
EXPORT
Signed work orders flow to payroll and your accounting package — nothing retyped.
What you get
Everything in Vynta, plus the controls larger operations ask for first.
Every branch in one place
Run each branch with its own jobs, stock and people, then step back and see the whole business in a single view. Nobody has to swap logins.
Roles that match your org chart
Admins, managers, office staff, drivers and technicians each see exactly what they should — and nothing they shouldn't.
Compliance you can prove
Certifications, inductions and recurring checklists are tracked per person and per asset, with a full history when an auditor asks.
Paperwork that closes itself
Work orders, delivery notes and installation certificates are signed on site or by secure link, then filed automatically against the job.
Service agreements at scale
Recurring visits generate their own work orders on schedule, so contract work never quietly slips.
Security built in
Row-level data isolation, so a branch or a role only ever reaches the records it owns, and an insert-only audit trail of time, stock, asset and portal changes.
AI sized for the whole workforce
A substantially larger monthly AI allowance, sized to your headcount, so voice dictation, drafted write-ups, pre-departure checks and daily briefs are available to every technician instead of rationed.
Eight AI co-pilots. Every one of them switchable.
AI in Vynta is not a chat box bolted to the side. Each co-pilot does one job inside the workflow your teams already follow — and your account holder can turn any of them on or off for the whole company, with the server refusing anything switched off. Enterprise contracts carry a substantially larger pooled allowance so dictation and drafted write-ups are available to every technician rather than rationed.
01
Voice dictation on site
Technicians speak; Vynta writes.
A technician holds the mic button and talks through what they found and what they did. Vynta transcribes it, cleans it up into a readable write-up and attaches it to the work order. No typing with gloves on, no notes rewritten back at the office, and job history that is actually worth reading a year later.
02
Drafted job notes
Consistent write-ups across hundreds of technicians.
Notes are drafted from the job's own data — asset, fault, parts used, time on site — in the same structure every time. Your best technician's standard of paperwork becomes everybody's standard, which is what auditors and customers actually notice.
03
On-site diagnostic guidance
Fewer second visits.
When a technician is stuck, they get structured next checks based on the asset's own service history rather than a phone call to someone senior. First-time fix rates go up and your experienced people stop being a help desk.
04
The "what's missing" check
Nothing incomplete leaves site.
Before a technician marks a job done, Vynta checks the work order against what the job type requires — photos, readings, signature, parts — and flags the gaps while the technician is still on site.
05
Dispatcher swap explanations
Schedule changes people accept.
When the board is reshuffled, every move comes with a plain reason — travel time, skills, SLA risk. Dispatchers spend the day dispatching rather than defending the schedule.
06
Asset risk explanations
A score you can defend.
Every asset is scored 0–100 from its own record — fault frequency, mean time between failures, age, parts consumed, plus any sensor feed you connect. The arithmetic is deterministic and free; AI writes the short “why” beside the riskiest handful, so a rising-risk asset arrives with a reason rather than a number.
07
Message reply drafting
Answers without the typing.
Customer and office messages get a drafted reply built from the job's own record — address, parts, timing, what was signed off. A person reads it and sends it; nothing goes out on its own.
08
Daily business brief
The morning read, already written.
Owners and branch managers open to a short brief: what slipped, what is at SLA risk, where stock is short and which assets need attention. Written from your live data, not a dashboard you have to interpret.
Computed from your own history, not guessed
Two of the things that make a fleet cheaper to run need no AI at all: asset health scoring and parts forecasting are arithmetic over the jobs, readings and stock you already have. They spend no credits, and they run on every paid plan.
Asset health scoring
Rising risk, with the signals behind it.
Every asset carries a 0–100 score built from fault frequency, mean time between failures, age, parts replaced, SLA breaches and open issues, each with its own cap so one noisy input cannot dominate. The next likely failure date comes from the observed interval between failures, and a maintenance visit is proposed before the call comes in.
Parts forecasting
Stock staged before the work.
Scheduled work contributes the parts its bill of materials already names; recommended work contributes what similar jobs actually consumed, with the confidence shown. The result is a 30-day shortfall per branch and per vehicle, so replenishment happens ahead of demand instead of after a failed visit.
Usage and remaining balance stay visible in Settings, so nothing is a surprise.
How a rollout works
1. Discovery call
Thirty minutes on how you work today — branches, trades, paperwork and the bits that hurt.
2. Guided setup
We help load branches, people, customers and stock, and shape the checklists around your standards.
3. Rollout and support
Team training, a pilot branch, then a staged rollout with a named contact while everyone settles in.

"We used to chase signed work orders for days. Now the job is signed off and handed to our accounting package before the technician reaches the next site."

"Friday afternoons used to be an argument about hours. GPS clock-in and the digital timesheet settle it before payroll runs."
